XLRI (Xavier School of Management) collected full profile information of 249 alumni including contact details, work experience, industry and skills at the alumni meet. A total of 177 alumni attendees built profiles by sharing their details using Vaave’s Magic Form via QR codes placed at the event. An additional 72 alumni filled information through referral links shared by alumni present at the meet, bringing the total to 249. These alumni profiles were later integrated into the portal.
Background & Challenges
XLRI’s goal is to build an updated alumni database to engage their alumni. The management planned to gather information from the alumni attending their upcoming alumni meet. However, it can be exhausting for the attendees to check in using RSVP and manually fill in their information at the event. After collecting the details, the alumni office should manually eliminate the duplicate entries if existing alumni registered again at the event. This process can be time-consuming and doesn’t encourage alumni to register on the alumni database.
Vaave’s Solution for XLRI
To eliminate the above mentioned painpoints and to streamline the data collection procedure, we have launched a campaign to instantly gather alumni data. The B-School strategically placed QR codes we created at registration desks and hall standees, encouraging alumni to register on the portal.

- It captures full alumni contact details along with other essential information like education, work history & experience, industry, and skills.
- Alumni can quickly create their own profiles just by dropping in their name, email and mobile number and LinkedIn URLs, removing the resistance to signup.
- The information gathered will seamlessly integrate with the existing member profiles and also build new profiles reducing the burden on the alumni officer to create the same.

Alumni attendees who created their profiles shared the unique referral links with fellow alumni and batchmates, resulting in 72 additional profiles. With 177 profiles already created, the total reached 249—all built during the alumni meet!
An alumnus emerged as the top referrer, bringing in 32 new profiles through their link! An average of 5 new alumni profiles are being regularly created through the unique referral links even after the event!

To sum up, XLRI’s collaboration with Vaave at their alumni meet resulted in the creation of 249 new alumni profiles, a valuable update to their database. By using QR codes, the B-School made it easy for attendees to create their profiles and invite others to do the same through alumni referral links. With the updated database, XLRI is well-equipped to improve future alumni interactions and strengthen its community.
