M.L.V Textile & Engineering College, Bhilwara saw a huge participation of its portal’s 1151 Premium Members exercising their right to vote in the alumni presidential elections. This humongous task was achieved in 4 approximate days including a thorough discussion in the portal under the guidance of Mr. Raj Kumar Singh, Chairman of the Election Committee, and his team. The committee even conducted two successful mock election runs in this tight time frame before the actual election process.
Challenges:
The institution faced difficulties in determining the credibility of the members, struggled to meet a large number of voters, and had a time-consuming process of manually verifying the voters using Google Forms. The offline election process received a lukewarm response as the alumni are scattered across the world making it difficult for them to cast a physical vote.
Steps Taken:
The election committee under the supervision of Mr. Raj Kumar Singh, raced against time and skillfully tackled all the hurdles turning the tides in their favor even in such a tight schedule. The team’s efforts along with the inputs from their captain and assistance from Vaave resulted in some innovative techniques such as:
- Mock Elections: The committee’s decision to organize two mock elections helped the former to iron out any difficulties and conduct the actual elections easily.
- Quick Result Declaration: Election results were instantly delivered to the Election Officer via email by adhering to all the rules and procedural requirements.
- Effective Communication: The election communication team efficiently coordinated with all the Life members who can cast a vote once through Mass Mailers and the dashboard of the alumni portal. The members of the communication team simultaneously acted as batch captains to mobilize their peers in their specific batches.
Result/Impact Achieved:
- Impressive Voter Turnout: The effective mock election runs coupled with the robust communication campaigns led by the election committee & batch captains resulted in the participation of an astounding 1151 Premium Members in the Alumni Presidential Elections making it an amazing success. The offline election conducted before received only 40 votes. The sole credit goes to Mr. Raj Kumar Singh and his team for achieving this.
- Transition from Offline to Online Voting: This smart move made by the election committee received great support from Vaave’s liaison team. With the inputs given by Mr. Raj Kumar Singh, his team managed to gain maximum participation from almost every premium member of the portal.
